Refund & cancellation policy
Clear thresholds, no small print, and a hardship route that we actually use.
Last updated: March 2, 2026
We would rather lose a booking than keep money from somebody who cannot attend. These are the terms, applied consistently and without argument.
1. If you cancel
| When you tell us | What happens |
|---|---|
| More than 7 days before the first session | Full refund, deposit included, by the original payment method within 10 business days. |
| Within 7 days of the first session | Full refund less the $75 deposit, or free transfer to any later cohort within 12 months. |
| After session 1, before session 2 | 50% refund of tuition paid, or full credit towards a later cohort. |
| After session 2 | No automatic refund. Documented hardship (illness, bereavement, job relocation) is met with a pro-rata credit — see section 3. |
2. If we cancel
If we cancel a course before it starts — usually because too few people enrolled — you get a 100% refund, including the deposit, within five business days, or a transfer with a $25 credit for the inconvenience. If we cancel an individual session, we reschedule it or run it online at the same time; if neither is possible, we refund that session pro rata.
3. Illness, hardship and life
Students who miss more than half a course for medical or caring reasons may join the next cohort at no charge, without producing paperwork beyond a conversation. If you lose your job mid-course, tell us: in the last three years we have never asked a student in that position for a further payment.
4. Transfers and substitutions
You may transfer to another course or another cohort once at no charge, up to the second session. If you cannot attend, an employer may substitute a colleague at any point before the third session at no extra cost.
5. Deposits
The $75 deposit is credited in full against tuition. It is refundable up to seven days before the course begins, and non-refundable after that, because a seat held is a seat somebody else could not take.
6. How to cancel
Email webmaster@education.acaimagia013.com or call 830-889-3387. The date we receive your message is the date used. We confirm every cancellation in writing, so if you have not had a confirmation within one business day, please chase us.
7. Private cohorts and invoiced bookings
Employer bookings cancelled more than 14 days ahead are refunded in full; inside 14 days, 50% of the day rate is payable, reflecting instructor time already committed. Rescheduling once, with more than seven days' notice, is free.
